Unit Overview
The Central Mail Unit is the nerve center for the movement of official and general correspondence, both inside and outside the institution. It is responsible for receiving, registering, and distributing all incoming and outgoing non-confidential correspondence, serving as the primary reference for logging and documenting the movement of official letters.
🎯 Functions of the Central Mail Unit
* Receiving and Documenting Incoming Mail:
* Receiving all correspondence arriving from external bodies (the Ministry, other universities, government departments).
* Recording incoming mail in the Inbound/Outbound Register (Logarithm), noting the date of receipt and the sequential number of the letter.
* Sorting and Distributing Correspondence:
* Sorting incoming letters according to their subject matter and the intended recipient within the institution (Deanship, Departments, Units).
* Distributing internal correspondence to the concerned departments after the highest official has endorsed them with instructions.
* Organizing Outgoing Mail:
* Receiving outgoing letters from departments after they have been signed by the Dean/Director.
* Recording outgoing letters in the dedicated Outbound Register, noting the sequential number and date.
* Packaging, sealing, and preparing correspondence for dispatch to external parties.
* Archiving: Securing and preserving the Inbound and Outbound registers and documents related to the movement of general correspondence.

Unit Overview
The Secret Pen is a highly sensitive administrative unit, often attached directly to the office of the Head of the Institution (Dean or University President). Its fundamental mission is to handle confidential and personal documents and correspondence related to high-level personnel matters, such as transfers, appointments, administrative penalties, and confidential performance reports.
🎯 Functions of the Secret Pen
* Handling Confidential Correspondence:
* Receiving correspondence classified as (Secret), (Personal), or (Very Important).
* Opening, preparing, and presenting this correspondence directly to the highest official (Dean/University President).
* Separate Documentation:
* Maintaining a separate confidential Inbound and Outbound Register that is distinct from the Central Mail Unit's register, and is only accessed by a very limited number of authorized personnel.
* Documenting the decisions of the Council and committees that are confidential in nature.
* Managing Sensitive and Personnel Files:
* Maintaining the personal files of faculty members and employees (related to service history, promotion, and retirement) and following up on their specific procedures.
* Preparing confidential outgoing letters and correspondence related to individual personnel matters before they are signed by the highest official.
* Confidentiality and Archiving:
* Ensuring the highest degree of confidentiality in handling documents, and applying security procedures for their preservation.
* Archiving all confidential documents in secure, locked cabinets.
